User managers can set organization-wide schedules for progress update notifications at all update frequencies. Plan admins can override these settings at the plan or plan item level.
Changing the Update Frequency
Under the Admin menu, click 'Notification Settings'.
From this page, you will be able to set the schedule that determines when progress update requests are generated for your various update frequency options.
Within the Updates with Daily Frequency section, no configuration is needed. Users will be notified every day to provide updates for items they are assigned to:
Within the Updates with Weekly Frequency section, you can add as many calendar days of the week as you wish for users to be notified to provide updates for items they are assigned to. If you choose a Weekly Update Frequency, users will receive requests on these days every week:
Within the Updates with Bi-Weekly Frequency section, you can add as many calendar days of the week as you wish for users to be notified to provide updates for items they are assigned to. If you choose a Bi-Weekly Update Frequency, users will receive requests on these days every other week:
Within the Updates with Monthly Frequency, you have multiple options. You can create a schedule based on the day of the week, repeated during the same week every month, or on specific days of the month:
Within the Updates with Quarterly Frequency section, you have multiple options. You can create a schedule based on the day of the week, repeated during the same week every quarter, or on specific days of the month:
- Requests during every month of the quarter on specific days
- Requests throughout the quarterly period on specific days
- Number of days before the end of the quarter
- Number of days after the end of the quarter
You can also schedule when users will be reminded to complete still outstanding updates by setting a Late Update Reminder schedule.
Among the other options, you can set the time of day you wish to receive these update reminders, whether it be right in the morning or at the end of the day, then click “Save Schedule”
If you don’t want to wait until the next scheduled time to send these email update reminders, you can push Quick Update emails to all users with pending/late updates right away by clicking the “Send Progress Update Emails Now”
Overriding Progress Update Notification Settings at the Plan Level
Open the top plan card item. On the right side, scroll down to "Schedule and Assignment" and select the calendar icon in the bottom right corner.
To set an Update Email Frequency for the entire plan and override the Organization Defaults, select "Use Custom Settings" at the top.
Select an update frequency of Quarterly, Monthly, Biweekly, Weekly, or Daily. Note - frequencies not being used will need to be clicked through and "Inactive - Don't generate updates for this frequency" will need to be selected.
Click "Save" in the bottom right corner after setting up each frequency, including those not being utilized, in order to progress to the next frequency setup.
Once under the frequency that you want for your plan, select either "Schedule a single progress update for each month" or "Schedule multiple progress updates for each month."
For single progress updates each month, select one of the following options:
- Every week of the month on these day(s)
- On this specific day of every month
- On these specific day(s) in the month
- These number of day(s) after the month ends
For multiple progress updates each month, select one of the following options:
- Every week of the month on this specific day
- On these specific days in the month
Update the plan's Grace Period to define how long the Assigned To user has before their update is considered late for both scheduled and manually requested updates.
Update the plan's Late Update Reminders by selected what day(s) Assigned To users will receive reminder emails after a progress update is late.
To provide Assigned To users with due date reminders, select one of the following options:
- Yes, send reminder(s) these number of days before the Due Date
- Send a reminder on the Due Date
- Send late reminders when the Due Date is past and the item is not marked as completed (Achieved, Not Achieved, Canceled)
Overriding Progress Update Notification Settings at the Plan Item Level
Choose a plan card item you want to edit. On the right side, scroll down to "Schedule and Assignment" and select the "Edit" button by hovering your mouse in the right corner. Edit by selecting the "Progress Update Frequency" to either Quarterly, Monthly, Biweekly, Weekly, or Daily.
Once the frequency is set, select the calendar icon in the bottom right corner of the Schedule and Assignment section.
To set an Update Email Frequency for this specific plan card and override the Organization Defaults, select "Use Custom Settings" at the top.
Select either "Schedule a single progress update for each month" or "Schedule multiple progress updates for each month."
For single progress updates each month, select one of the following options:
- Every week of the month on these day(s)
- On this specific day of every month
- On these specific day(s) in the month
- These number of day(s) after the month ends
For multiple progress updates each month, select one of the following options:
- Every week of the month on this specific day
- On these specific days in the month
