Email Frequency Notification Settings

When you’re in a crunch for time on a project, it’s nice to receive email reminders to keep you on track. Now User Managers can set when and how often you wish to receive email updates. 

Step 1: Changing the Update Email Frequency

To get started:

A. Select the Admin menu then select the Notification Settings option.

On the Notification Settings page you will be able to change the frequency of email notifications from Daily, Weekly, Bi-Weekly, Monthly and Quarterly.

 

B. Within the Updates with Daily Frequency section, you will be notified every day regarding updates you’re are assigned to

C. Within the Updates with Weekly Frequency section, you can add as many days as you wish or as few. If you choose the Update Frequency - Weekly, here is where you can schedule which days of the week you want to your users receive the Quick Update emails

D. Within the Updates with Bi-Weekly Frequency section, you can add as many days as you wish or as few. If you choose the Update Frequency Bi-Weekly, here is where you can schedule which days of the week, every other week, you want to your users receive the Quick Update emails

E. Within the Updates with Monthly Frequency, you have several options. Based on the day of the week, repeated during the same week during a month or specific days of the month

F. Within the Updates with Quarterly Frequency section, you can make the email notifications arrive every week working up to the quarterly deadline. You can check:

  • The first, second, third, fourth, last 
  • Specific Day of the Week
  • On the following days of the month
  • On the following days of the quarter
  • Number of days before the end of the quarter

G. When plan items are late receiving updates, you can modify when users will be reminded to complete their late updates with the Quick Update emails. You can set every day to receive those emails so that you get reminded until it has been updated

H. Among the other options, you can set the time of day you wish to receive these update reminders, whether it be right in the morning or at the end of the day, then click “Save Schedule”

I. If you don’t want to wait until the next scheduled time to send these email update reminders, you can push Quick Update emails to all users with pending/late updates right away by clicking the “Send Progress Update Emails Now”

Step 2: Changing the Update Email Frequency Settings per Plan

A.   Open the top plan card item. You will notice that this plan doesn’t have an Update Frequency

B.   To set an Update Email Frequency for the entire plan à navigate to the options tab located under the timeline on the left hand side

C.   Uncheck the ‘Use Organization Settings’ to customize the frequency for each individual plan

D.   The email schedule will appear giving you the option to choose from daily, weekly, bi-weekly, monthly and quarterly

E.    Once you have picked what frequency you want for the plan, scroll to the bottom of the card, then click ‘Save Schedule’

F.    A success message will appear to notify you of your saved changes

Step 3: Changing the Update Email Frequency Settings per Plan Item

A.   Choose a plan card item you want to edit. Once you have opened the card, navigate to the ‘Options’ tab on the left hand side of the card

B.   Uncheck the ‘Use Plan Default Settings’ box

C.   The email schedule will appear giving you the option to choose from daily, weekly, bi-weekly, monthly and quarterly

D.   Once you have picked what frequency you want for the plan, scroll to the bottom of the card, then click ‘Save Schedule’

E.   A success message will appear to notify you of your saved changes
