Email Frequency Notification Settings

Tracking and reviewing ongoing progress is critical to executing your plans once they are developed. Setting up notifications in AchieveIt is a key part of automating and managing that process. User Managers can set when and how often users receive update requests.

 

Set Notification Settings for Your Organization

If you are a User Manager, click into your Admin menu. Then select the Notification Settings option:

On the Notification Settings page, you will see a Summary panel at the top of the page listing your current organizational default settings. 

 

 

Directly beneath the Summary, you will see the Update Schedule section. You can click into each frequency option to adjust the current default settings.

 

 

For items set to a Quarterly frequency, you can schedule a single update for each quarter, schedule multiple updates for each quarter, or set the frequency to Inactive. If activating the Quarterly frequency, you can select from the following scheduling options:  

  • Every week of the quarter (on specific days of the week)
  • A specific day of every month in the quarter 
  • On specific dates of every month in the quarter 
  • On specific days within the quarter 
  • A specified Number of days before the quarter ends 
  • A specified Number of days after the quarter ends

 

 

For items set to a Monthly frequency, you can schedule a single update for each month, schedule multiple updates for each month, or set the frequency to Inactive. If activating the Monthly frequency, you can select from the following scheduling options:  

  • Every week of the month (on specific days of the week)
  • A specific day of every month in the quarter
  • On specific days within the month
  • A specified Number of days after the month ends

 

 

For items set to a Biweekly frequency, you can schedule a single update for every two weeks or set the frequency to Inactive. If activating the Biweekly frequency, you can select a specific day of the week for update requests to be generated (multiple selections are allowed): 

 

 

For items set to a Weekly frequency, you can schedule a single update for every week or set the frequency to Inactive. If activating the Weekly frequency, you can select a specific day of the week for update requests to be generated (multiple selections are allowed): 

 

 

No setup is required for the Daily frequency. When this frequency is selected, update requests will be generated every single day of the week (including weekends): 

 

 

After the Update Schedule section, you can set up an organizational default for your Grace Period. The Grace Period is the window of time from when an update request is generated until it is considered late in AchieveIt. 

 

 

In the following section, set organizational defaults for Late Update Reminders. When activated, users will receive reminders every week on the selected days until their update request has been completed. Multiple selections are allowed. 

 

After the Late Update Reminders section, you can set up an organizational default for Due Date reminders. You can select from the following scheduling options: 

  • Remind a user of an approaching due date on assigned plan items (up to 180 days in advance) 
  • Remind a user on the due date of an assigned plan item 
  • Remind a user when the due date of an assigned plan item has passed and not been marked with a Completed status (On Hold, Not Achieved, or Canceled)

 

You can also set the time of day that users will receive email reminders of their update requests:

 

 

You also have an additional option to send email reminders on outstanding update requests for your entire organization via the Send Progress Update Emails Now option located at the bottom of the page:

 

 

 

 

Set Notification Settings for an Individual Plan

If you are a Plan Admin and would like to set custom notification settings for a plan outside of your organizational defaults, simply navigate to the plan you would like to customize. Open the top plan card item and locate the 'Schedule and Assignment' section. Click the calendar icon. 

 

 

The Settings menu will open. Toggle from the Organizational Defaults option to Use Custom Settings at the top of the menu:

 

 

Make your selections as needed, then click the Save button. 

 

 

Set Notification Settings for an Individual Item

Plan Admins can also set custom notification settings for individual items within a plan. Open the individual item you would like to customize. Locate the 'Schedule and Assignment' section in the item's details, then click the calendar icon.

 

 

The Settings menu will open. Toggle from the Organizational Defaults option to Use Custom Settings at the top of the menu. Make your selections as needed, then click the Save button.
