The Bulk Edit feature allows you to edit multiple plan items at once, eliminating the pain of having to apply edits to many items separately. Users can only Bulk Edit items that they have admin access to within a plan.
The following fields of a plan item can be bulk edited:
- Progress Updates
- Users can add progress updates to multiple items at once by selecting a Status and As Of Date to apply to their items. The associated Comment field is optional.
- Comment
- Users can add standalone comments to plan items.
- Level
- Users can edit the level of selected plan items. The top plan item's level cannot be edited.
- Description
- Users can add or edit the description field of selected plan items.
- Start & Due Dates
- Users can add, edit, or remove the start and due dates of selected plan items.
- Assigned To
- Users can assign, unassign or edit the Assigned To User of selected plan items.
- Progress Update Frequency
- Users can edit the frequency of selected plan items
- Admins
- Users can add, edit, or remove admins of selected plan items
- Members
- Users can add, edit, or remove members of selected plan items
- Tags
- Users can add, edit, or remove tags of selected plan items. Tags can also be created and added to items while in the Bulk Edit menu.
The following actions can be made in bulk for plan items:
- Copy
- Users can copy selected items to a new plan or a different section of the current plan they are editing
- Users can select an additional option of 'Copy item's entire timeline history' which will copy over any previously made progress or metric updates, any outstanding update requests, standalone comments, as well as previously uploaded files and checklists for selected items to the new copies
- Move
- Users can move selected items to a new plan or a different section of the current plan they are editing
- The top plan item cannot be moved
Making Selections for Bulk Edit
Pull up the plan you would like to Bulk Edit on List View. List View is always accessible from the menu in the top right-hand corner of your page:
Click the checkbox on the far left of the item rows to select the items you would like to bulk edit. You must be an admin of the item to select it for editing.
Note: Linked Items cannot be bulk edited. To make changes to linked items, you will need to navigate to their source plan.
After selecting all the items you would like to edit, click on the ‘Bulk Edit’ button, located in the action bar just above the column headers.
The Bulk Edit modal will appear over your list. Click the checkbox to activate the fields you'd like to edit. You can edit multiple fields at a time. Click the 'Next' button once all your selections have been made in order to confirm your edits.
Note: If you make edits and also select the Copy action at the same time, updates will only be made to the copies of your selected items. The original items will not be edited.
On the Confirm Bulk Operations tab, you'll see a summary of the changes you are about to make to your selected items. Click the 'Make Bulk Edits' button to complete your changes.
The Bulk Edit modal will close and you’ll see a confirmation message in the bottom corner of your List View letting you know your changes have been completed successfully.
Addressing Errors
If bulk edits cannot be completed for the selected items, error messaging will show on the 'Confirm Bulk Operations' tab. You can click the 'Back' button to return to 'Select Bulk Operations' and correct any errors before completing your bulk edits.
