When Delegated User Management and the Organization Hierarchy feature are enabled in your account, Organizational Unit User Managers as well as Organization-level Administrators will see additional information when managing users in AchieveIt:
- Additional column options of 'Organizational Unit' and 'Managed Organizational Unit' in the Users list
- Additional required field of 'Organizational Unit' when adding users from the Users page or via the import template
- Additional fields of 'Organizational Unit' and 'Org Unit User Manager' on the User Profile menu
Managing Users as an Organizational Unit User Manager
Once a user is assigned as the user manager for an organizational unit, the Admin menu will appear in their navigation bar. From there, the Organizational Unit User Manager can navigate to the Users page to add and manage users for any organizational unit they have been granted access to.
License Count Panel
The license count panel to the left of the user list displays the current license allocations for any organizational units the user manages. The license count panel can be expanded or collapsed by clicking the arrow icon. (Organization-level Administrators will see licensing information for the entire organization in the license count panel).
When the panel is expanded, you can view additional details about the current total licenses available for an organizational unit, current allocations by user type, and the names of user managers. Click the arrow icon next to an organizational unit's name to expand the license count details for that organizational unit.
Filtering
Organizational Unit User Managers can filter the user list by using the quick filters on the license count panel or by expanding the filter panel above the user list. Clicking the filter icon next to the name of an organizational unit in the license count panel will filter the user list to show only users who are currently added to the selected organizational unit.
When delegated user management is set up for your organization, you'll also have access to additional options of 'Organizational Unit' and 'Managed Organizational Units' in the filter panel:
Add User
To add a single new user, click the '+Add User' button above your user list.
When the ‘Add User’ modal opens, enter the user’s email address and select the appropriate organizational unit for the user to be added into, then click 'Next'.
Fill out the user's details, including:
- First name
- Last name
- User type
- Time zone
- Initial password (note - this is a required field to complete user setup even if your AchieveIt account utilizes SSO)
Then click 'Add User' in the bottom right-hand corner. Your newly created user will now appear in your user list and have access to the application.
Note: you may be unable to add a user if all allocated licenses for your organizational unit(s) are currently in use, or the user you are trying to add has already been added to a different organizational unit that you do not have Organizational Unit User Manager access to.
Import User
If you need to create multiple users at once, you can import multiple users at one time using an Excel template. Click the 'Import Users' button above your user list.
When the 'Import Users' modal opens, download the import template by clicking the download icon or 'download template' text.
Download and open the template file in Excel. You'll need to complete the required fields for each user:
- First name
- Last name
- Email address
- License type (Full Access, Contributor, or External Contributor)
- Organizational Unit
- Initial Password (note that this is a required field in order to complete setup, even if your AchieveIt account utilizes SSO)
- Time zone
Once you have completed the template, save the file and upload it into AchieveIt by either dragging and dropping the file onto the import menu or by clicking 'Choose a file' to choose from a location on your computer.
Click 'Import Users' to complete your upload (Note - if there are errors within your user template, the system will provide a list of fields that must be corrected to successfully complete the import).
